We are ideally looking for someone who has either been a Team Secretary/Coordinator or a Senior Recruitment Coordinator who can juggle heavy scheduling, has strong prioritisation and organisational skills, excellent communication skills and who can keep up to speed on a number of recruiting assignments alongside broader strategic projects and temp/contract admin duties.

  • To relieve the Account Lead of as much administration as possible and initiate improvements in systems and processes
  • There is a heavy scheduling component to the role and the Recruitment Team Administrator will need to meet tight deadlines with regards to interview arranging and ensure that requests and queries are dealt with in a timely fashion, in addition to ensuring process alignment across the global recruitment function
  • To ensure all administration procedures and processes are fully documented on-site
  • Logging and tracking the flow of CVs from referrals and job sites via the recruitment database
  • Maintaining recruitment activity reports for weekly meetings with the recruiting team and head of HR
  • Understanding of and work to all SLAs pertaining to the role
  • Ensure compliance with processes and procedures (including approval processes, compensation policies, e-mail policies, confidentiality etc)
  • Keeping candidates informed of the stages of the recruitment process
  • On-boarding of employees - conducting inductions and providing guidance when needed during their employment
  • Liaising directly with agencies, managers and assistants regarding candidates' interview availability
  • Dealing with senior stakeholders to discuss role / recruitment process and keeping them informed throughout recruitment process, ensuring key stakeholders are aware of any significant changes to employees e.g. holiday, resignation, extensions
  • Other duties which are reasonably within the capabilities of a staff member in this position may need to be performed from time to time, in addition to or instead of the above duties. The requirements of this role may change over time and staff are required to comply with all such reasonable changes
