HR Assistant - Europe

Location – Central London (Oxford Circus)

Contract Type – Permanent, Full-time

Salary - £35-45k (depending upon experience)

Start – ASAP, but will wait for the right candidate


What is the focus of this role?

Reporting to the HR Business Partner & Talent Acquisition Manager, the HR Assistant will be responsible for all operational HR queries as well as accurate and timely HR administration for our client’s business in Europe.  This role will ensure all HR administrative processes are delivered to a high standard beginning from recruitment administration to the full employee life cycle. 

The role will require working very closely with other international HR teams and will involve the following responsibilities:

Key responsibilities:

  • Scheduling interviews and acting as first point of contact for search firms and candidates
  • Extensive diary management for Talent Acquisition Manager, hiring managers and candidates
  • Generating offer letters/contracts
  • Initiating background checks for new hires.
  • Onboarding: monitoring return of new hire information, setting up new hires in Workday and sending the appropriate welcome emails to new hires. 
  • Development: working with the OD team to organise onsite development courses, new employee orientation and other courses on a needs basis
  • Global Mobility: work with the HRBP to flag assignment start and end dates and work through all associated administration.
  • Immigration: manage the right to work checks for new hires and ensure spreadsheets/files are updated.
  • Leave of absence: producing letters associated with all types of leaves
  • Leavers: coordinating the leavers process – checking leave dates, administrating the termination and setting up exit interviews.
  • Benefits Administration: work with the external benefits broker and our Benefits team to answer operational queries relating to benefit programmes
  • Dealing with all confirmation of employment letter requests
  • Work in partnership with the HRBP and business to ensure the delivery of projects and services in line with the Talent strategy and business needs.
  • Working on any additional office wide projects.

Position Requirements:

  • CIPD Qualified (Level 5 minimum)/Degree educated
  • Demonstrable administration experience in all areas of HR in a similar environment
  • Knowledge of employment legislation
  • Excellent Word, Excel and Powerpoint skills
  • Strong planning and organizational skills with proven ability to manage competing priorities
  • Very detailed oriented with a superior track record of achieving high quality results
  • Good communication skills - both written and verbal
  • Proven ability to maintain sensitive and highly confidential information
  • Ability to clearly define and articulate requirements, priorities, impacts, and solutions
  • Ability to foster effective working relationships at all levels internally and externally
  • Able to identify opportunities, take initiative and think through future implications
  • Ability to work in a dynamic environment, under pressure and with time-sensitive deadlines
