Currently recruiting for a HR Coordinator for a permanent role. Based in Fife with a manufacturing business.

Description

Your main responsibility will be all HR administration activities, and key tasks include:

  • Managing the HR Admin email inbox, dealing with requests and enquiries in an efficient and timely manner.
  • Processing incoming and outgoing mail for the HR department.
  • Processing and managing information requests from employees and external parties.
  • Updating, maintaining and making suggestions for improvements to the HR data retention systems (iTrent and Workday), ensuring compliance with GDPR legislation
  • Maintainence of HR files in all formats in accordance with legal requirements, company policies and procedures.
  • Developing and continually improving HR standards and procedures.
  • Diary management for the HR team; organising meetings and events, including organising catering, travel and accommodation as required.
  • Ensuring timely and smooth operation of key HR processes such as recruitment, onboarding and induction, contracts of employment, absence and leavers from an administrative perspective.
  • Monthly reporting to support payroll processing.
  • Preparing monthly management data and bi annual board reports.
  • Communication about and co-ordination of annual HR process, such as renewal of Private Healthcare cover, holiday flex, flu vaccinations etc
  • Attending meetings and provide accurate minutes and follow up on actions as and when required.

Profile

The business are looking for a first-class administrator with excellent organisational & time management skills, who can work proactively on their own initiative with minimal supervision.

Previous experience of diary/calendar management is necessary for the success of the role.

Practical experience gained in a similar role is essential, and it would be advantageous for the candidate to have experience of this in an HR environment.

Candidates must have strong IT literacy and be skilled in the use of the full Microsoft Office Suite, with a particular focus on Outlook, Excel, Word and PowerPoint.

First class communication skills, both written and verbal, are vital to the success of the role.

Occasional travel out with normal base location may be required, therefore a passport and driving licence are essential, as is flexibility to support with out of hours events, like assessment centres on an ad-hoc basis.
