This position is a team assistant/executive assistant role where the successful candidate will be supporting senior managers. This role is a years contract with the possibility of going permanent.

Client Details

My client is a FTSE 100 business based in the heart of Sunbury, they have offices globally and are very well respected business.

Description


1. Manage, optimise and coordinate meeting schedule including external meetings (i.e. working groups) for the region


2. Act as single point of accountability for all schedule, travel changes and update the teams accordingly including all external parties


3. Accountable for coordinating and updating all changes on travel and meeting schedule and support teams


4. Updating and record keeping for all hosting approvals, financial information for E&C register and further verification with E&C team on updated record-keeping


5. Keeping track of invitation letters for quick reference for visa applications for external visitors and as a reference to hosting procedures


6. Accountable to keep track of every external event for further reference (including attendees, duration of stay, costs etc)


7. Act as first point of contact for all travellers (external and internal) for change in plans - French skills required
Event Management


1. Coordinate and support organisation of events including set up of schedule, venues, catering, notifications, etc.


2. Support teams in setting up external stakeholder meetings, including coordination of travel, visas, transportation for visitors travelling from outside of the UK


3. Provide logistics support to teams for internal or external events


4. Communicate/ coordinate updated event/logistics information within team and other individuals

Profile

  • Must speak and write fluent french
  • Must have full team assistant/executive assistant skills
  • Worked for large FTSE 200 businesses in the past
  • Must be immediately available or on 1 weeks notice
