The HR Administrator will provide a quality, comprehensive and timely service to the HR department and to the wider business, whilst working closely with all members of the HR Team.

6 month temp HR Administrator role - home and office working (based in Weybridge) - Pharmaceutical

New Starter Process:

  • Preparing paperwork for all new starters, including offer letters, contracts, benefits information, referencing etc in a timely way and escalating any potential issues to the relevant Senior HRBP
  • Communication to new starters (first day instructions)
  • Arranging and carrying out HR inductions
  • Entering new starter details onto the HR/Payroll system, chasing any associated paperwork and approvals, whilst working closely with the Payroll team to ensure a robust and smooth process
  • Setting expectations with new hires about the probation process
  • Communicate successful completion of probationary period in a timely manner to employees following approval from the line manager.
  • 3.2 Leavers Process:

    • Generating acceptance of resignation letters where applicable
    • Completing leaver forms and gaining the relevant approvals for all leavers
    • Processing leavers on the HR/Payroll system, calculating holiday balances, ensuring that the correct paperwork is completed and approved, whilst working closely with the Payroll team to ensure a robust and smooth process
    • Transferring personnel files of leavers out of filing system and into leaver storage
      (both hard copy files and e-files)
    • Generating monthly Exit Interview data for the Senior HRBP's

  • 3.3 System Maintenance:

    o Ensure our core HR/Payroll system is always maintained, containing up to date and accurate data

    o Maintenance of other HR systems such as our global performance management system

    o General system administration.


    3.4 Employee Benefits

    o First point of contact for all WBASL benefits administration (private healthcare and medical screening, company cars, annual leave, Boots discount cards, long service awards, cycle to work scheme and gym subsidy)

    o Improve processes and maintaining accurate checklists

    o Updating the intranet with relevant HR processes/procedures in line with any changes to our benefits offering

    o Responding to employee requests/queries in accurate and timely manner.



    3.5 HR Reports and Organisation Charts

    o Complete a monthly update of all WBASL organisation charts, including accurate reporting on FTE's

    o Complete all reports in line with monthly / annual scheduled activity e.g. headcount reporting to Finance, starter and leaver reports to Communications and IT etc

    o Compile ad-hoc reports as requested by the business

    o Maintain the Global Employee Engagement Survey data for all WBASL employees.


    3.7 HR Admin

    o Accountable for the management of the shared HR mailbox and ensuring all enquiries are dealt with in a timely manner or re-directed if appropriate. Ensuring that excellent customer service is always delivered whilst managing our customers' expectations

    o Management of the absence process in relation to all absence types such as sickness, maternity and paternity

    o Processing changes to employees terms and conditions of employment, completing variation letters and ensuing authority to amend forms are complete and approved, whilst working closely with the Payroll team to ensure a robust and smooth process

    o Support with the administrative elements of the annual pay review and bonus process


    3.8 Visa Process

    o Engage with the recruiting manager and Senior HRBP around sponsorship/visa campaign where necessary for the role / candidate

    o Engage with Immigration experts

    o Work with candidate to make sure all relevant documents are completed and arrange Immigration experts to apply for sponsorship/visa

    o Maintain all visa records

Profile
