Description

HR Systems:

· Ensure HR systems and related business processes are managed and administered including ensuring data housekeeping of all HR Data, systems documentation is in place and kept relevant, and best practice on systems administration for HR systems is in place.

· Specifically, lead on the system administration of ResourceLink (integrated HR/Payroll system, MyView Employee and Manager Self-Service portal) including implementation of new functionality/modules

· System configuration of Engage ATS (e-Recruitment system) to meet the School's recruitment processes and lead on implementation of new functionality

· Working with colleagues in Data and Technology Service Division (DTS) to plan and administer system upgrades, ensuring new releases/patches are thoroughly tested in conjunction with key stakeholders with full end to end process testing

· Subject Matter Expert on HR Systems and lead with system related projects led by the HR Division or that require expertise on HR related data

· Working with DTS, act as the key customer for supplier relationships. Own and develop business continuity plans for all technology enabled HR processes, this includes identifying and documenting key service level requirements across all systems.

· Working with DTS, maintain service management processes for all systems including documenting the processes for service requests, handling incidents and change management on systems.

· Working with our Data Protection Officer and DTS, maintaining and improving the HR Divisions Records Management processes and tools to ensure compliance with both operational need and legislative requirement.

· Attending the Data, Technology and Digital Management Board on request to ensure HR Systems and Data are appropriately governed.

· Assist in ensuring that all systems comply with technology and data architectural standards and principles in the school including reporting architectural exceptions to DTD MB

· To initiate and chair and HR Systems and Processes User Group to garner feedback and share best practice and ideas.

Management Information:

· Development of a planned reporting calendar using the schools preferred tools and reducing the reliance of 'out of system' reporting.

· Lead on the production of Management Information Reporting using the schools preferred reporting tools, ensuring they are developed to meet the objectives of the HR Division and the School. This includes meeting the needs of statutory reporting including but not restricted to:

- leading on the production of a variety of HR information for use in supporting the Reward Management process, external accreditation (Stonewall, Athena SWAN etc.) and wider School strategies

- Lead on Gender Pay Gap Reporting and other HR metrics and reporting including statutory and external returns such as ONS, HESA and UCEA

· Introduce innovative approaches to management information, bringing fresh ideas and best practice to raise the profile and encourage the use of such information

· Actively promote the increased use of management information to support strategic aims of the HR Division

· Ensure the HR Division is compliant with the General Data Protection Regulations, Freedom of Information requests and Subject Access Requests

Other duties:

· Working with DTS (Strategy and Architecture) develop system roadmaps and data strategies to support the HR Division and the wider School including a backlog to indicate current and outstanding workload with appropriate prioritisation method

· Membership of School wide bodies as part of the Practice for Technology and Data. This includes the Data Strategy Group and the Technology Operations Forum.

· Supervision of the HR Information and Systems team including assigning work, holding regular 1:1s and completing appraisals

· Play a key role in the HR Division in improving the effectiveness, efficient and quality of service the Division offers and delivers to the School

· Instigating and developing relationships across the School with other business systems managers, DTS colleagues and senior stakeholders

· Developing and maintaining an understanding of the School's strategy including strategic directions on technology and data from DTS and ensuring annual operating plans and CDRs reflect these strategic priorities.
