An exciting unique administrative opportunity split 50/50 in the capacity of an Executive Assistant and the other 50% as an administrator for the People Operations team.

Description

The key responsibilities of the EA/ HR Administrator in Greenford will be:

On the Executive Assistant side:

  • Managing the General Manager's diary, organising meetings and appointments.
  • Booking and arranging for travel, transport and accommodations for the General Manager.
  • Supporting some of our senior managers with their schedule, bookings and expenses.
  • Dealing with correspondence and filter queries to the GM.
  • Coordinating events and briefing the General Manager accordingly.
  • Reminding the General Manager and some of our senior managers of important tasks and deadlines.
  • Typing, compiling & preparing minutes, presentations & correspondence.
  • Compiling expenses on a weekly basis for the senior managers and our General Manager.
  • Meeting & greeting General Manager's site visitors as well as other department's clients and preparing refreshments as required.

On the People Operations Administrative side:

  • Efficient first point of contact for all people related queries and needs.
  • Maintaining up to date employee records and chasing up any missing documents from regular audits.
  • Support the creation of employee documentation and any applicable variation to contract and verification requests.
  • Ambassador of our cultural values and support with all People Operation virtual and in person employee engagements.
  • Full ownership of all People Operations benefits offerings, benchmark with external offerings and proactive research prior to renewals.
  • Track all Time and Attendance Management trends and flag any discrepancies to Senior Manager, People Operations.
  • Guarantees that all People Operations administrative procedures are applied at all times across the company.
  • Complete responsibility for providing administrative support to the regional People projects and assistance with rolling out People initiatives.
  • Contribute to the on-boarding and off-boarding processes, creating a positive experience for our new starters and leavers.
  • Builds and manages relationships between internal teams, ensures communication is effective, (including pre-scheduled communications and graduations on our HRIS community for Birthdays and Graduations)
  • Has the operational ability to track and analyse progress of People Operations initiatives and work.
  • Adds value through knowledge, constant learning and adapting and implementation of new ideas.

Profile

The successful EA/ HR Administrator in Greenford will have:

  • Ideally fluent in French
  • Excellent communication skills and proven experience in building relationships with colleagues at all levels
  • Previous PA experience required - at least 2 years in a fast-paced business and extra bonus if combined with entry level HR experience
  • A proactive organised professional who can work well under pressure with demonstrated ability to adapt to changing priorities and pivot quickly
  • Smart, vibrant, enthusiastic and personable with excellent communication skills
  • Amazing attention to detail - you're brilliant at thinking two steps ahead but also like to double-check your work
  • Ability to work under own initiative, curiosity to develop new skills to broaden scope of role
  • Exposure to HRIS systems is desirable
  • Process driven and emphatic mindset
  • Ability to maintain strict confidentiality at all times
  • Solid team player who can collaborate cross-functionally
  • Passionate about
