Oakleaf Partnership are proud to be partnering with a Media Consultancy who help companies get the most out of their advertisement. They are looking for someone enthusiastic, professional and organised with a great attention to detail. Key responsibilities:

  • Support the EMEA Talent Operations team in the allocations process and data entry in 10KFT (Essence's allocation and time tracking tool)
  • Maintain key staffing tools including regional organization charts and capacity plans for billable and nonbillable teams
  • Help to prepare the data inputs and quantitative information required for staff or freelance position requests in Greenhouse (our ATS system)
  • Partner with Talent Acquisition to manage internal deliverables, inputting and maintaining roles in the system
  • Maintain an up to date allocations database for group/region.
  • Support Talent Operations team in monitoring bandwidth to maximize utilization from both client and discipline perspective.
  • Help maintain staffing and resourcing meeting agendas and aggregate key notes
  • Work as a liaison at times between teams that maintain high confidentiality and sensitive information; the ability to maintain confidential information is crucial
  • At times you will be asked to prepare and maintain the following: Utilization & billability reports, capacity plan by region, trends and forecast summaries, timesheet compliance and other ad hoc reports as requested.
  • Support internal transfer process through maintenance of trackers and systems, as well as coordination of interviews and meetings, to support internal development and mobility within the organization.

Requirements:

Extremely well organized, process-driven and dedicated, with an enthusiasm to learn and can-do attitude. Specifically:

  • Ideally some experience in an agency environment or talent role
  • Strong prioritization, time management and organizational skills
  • Calm and methodical with exceptional attention to detail
  • Ability to multitask and prioritize tasks
  • Ability to self-manage, with a positive attitude and a strong team and delivery focus
  • Effective interpersonal, written and verbal communication skills
  • A strong work ethic and ability to perform in a collaborative, fast-paced environment.
  • Proficiency in Google Docs and Google supported applications, MS applications to include Word and Excel
