Job Details

The primary purpose of the role holder will be to co-ordinate the HR administrative function and provide HR Systems administration and support.
The role holder will be expected to deliver their duties while behaving in line with the organisation's stated values.

Description
HR Administration
- Work with the HR Administrator in administering recruitment campaigns
- Overseeing employee contract administration
- Maintaining employee records and general administration related to employee lifecycle
- Ensuring pre-employment checks are carried out in line with policy and procedure
- Provide front line advice to employees and manager on the implementation of HR&OD Policies
- Co-ordinate sickness absence management reporting and communications
- Provide support to HR&OD Business Partners as required
System Administration
- Manage upgrades (including bookings, planning, post upgrade actions and testing)
- Setting up and maintaining user profiles and ongoing maintenance of security profiles
- General system housekeeping
- Building and managing workflows as required
- Assisting HR team in operating the system and resolving system issues (in conjunction with MHR Assist where appropriate)
- Raising cases with MHR and liaising with consultants to resolve issues
- Keep up to date with HR Systems and process development through engagement with MHR customer portal
- Administer Talent Management modules within the system on an ongoing basis
User Support
- Support with Employee Self-Service such as password resets, reporting line changes and general guidance
- Provide reports as and when required. This may include analysing of data
- Assist and deal with a range of queries that come into the relevant HR mailboxes or phone lines on a daily basis
- Provide training to end users and produce user guides
Payroll Support
- Communicate with MHR Managed Payroll services and provide data as required
- Oversee HR tasks linked to payroll processing including starter and leavers processes, updating contractual changes in iTrent
- Cyclical tasks requiring data sharing with MHR
MI Reporting
- Running Reports within business objects as required
- Using the reporting tool to support HR processes
Project Support
- Support HR Projects to ensure efficient and smooth implementation of a new system or process
Profile
KNOWLEDGE:
- Working knowledge of iTrent core system and talent modules
- Demonstrable knowledge of HR processes and systems
- Basic knowledge of MHR service cloud (D)
- Basic awareness of Business Objects reporting tool (D)
- Working knowledge of recruitment administration
- Working knowledge of employee contract administration
ABILITIES/COMPETENCIES
- Excellent IT Skills
- Ability to communicate and knowledge share with technical and non-technical contacts including iTrent Consultants
- Ability to analyse, streamline and document processes
- Ability to take ownership of system issues through to resolution
- Ability to plan and execute system upgrades
- Excellent communication skills to ensure stakeholders are updated on changes or issues
EXPERIENCE
- Experience of working in a face paced HR environment
- Experience of administering HR Systems (preferably iTrent)
- Experience of responding to user queries and providing appropriate advice
- Experience of working with MHR consultants and navigating the MHR customer portal (D)
- Experience of providing a generalist administration service within an HR department
EDUCATION
- Educated to Scottish Credit & Qualification Framework level 7 or relevant HR related qualification
- CIPD qualification or working towards (D)
