Job Details

The Membership Team is responsible for servicing and managing the memberships. The organisation has recently invested in a new CRM system and we have been working hard to support our members in the transition to digital communications. This newly-created role will help the Society to realise the investment in this new system and continue to develop member communications, ensuring excellent customer service for the membership.

New position within a well known organisation based Edinburgh (West)


Main Duties:

  • Managing the Membership function within the Secretariat including managing the Membership Team and building the team's capability;
  • Devising and implementing membership communication strategies, liaising with the organisation Secretary and the Marketing Team to ensure alignment with the overall brand strategy.
  • Overseeing the ongoing development of the CiviCRM system, liaising with the developer and managing the internal Project Administrator.
  • Managing the administration and support of the organisation's Membership functions including managing new member applications, keeping the membership database updated, processing payments and managing membership mailings;
  • Assisting the Secretary with development and promotion of membership benefits;
  • Dealing with telephone and email enquiries from members, directors, the public and other stakeholders, in a timely and appropriate manner.


  • Managing the distribution of incoming departmental mail on a daily basis and ensuring it is dealt with in a timely fashion;
  • Providing general support to the Secretary and assisting the Secretary and Governance Officer with supporting the Board of Directors as required;
  • Developing an understanding of the work of the organisation, its Charter and Bye-Laws and making and maintaining relationships with its stakeholders;
  • Undertaking other duties as appropriate and required.


  • Experience of managing and developing a team;
  • Demonstrable customer service focus;
  • Professionalism, self-motivation and flexibility in approach to the organisation's requirements;
  • Excellent planning, organisational, communication (written and oral) and administration skills;
  • Good attention to detail;
  • Problem solving skills, capable of using own initiative when required;
  • Proficient knowledge of the Office Suite, particularly Outlook, Word and Excel; knowledge of CRM systems would be advantageous but not essential as training will be given;
  • Ability to plan and prioritise own workload, taking into account various time constraints and pressures;
  • Ability to work conscientiously with minimum supervision;
  • Confidence in communicating appropriately with contacts at all levels with tact and diplomacy;
  • Respecting the need for confidentiality within all aspects of the role;
  • Due to the location of the position, a full driver's licence would be advantageous.

Job Offer

  • Permanent
  • Annual holiday entitlement beginning from 20 days per annum, in addition to 10 public holidays and up to 4 discretionary Directors days to be taken between Christmas and New Year
  • Contributory pension scheme under which the organisation contributes 10% of basic salary on the provision that you contribute 6%.
