Job Details

In this role, you will be responsible for managing diaries, scheduling meetings, constructing corporate documents and handling correspondence.

To ensure success as an Executive Assistant, you should be able to demonstrate excellent organisational skills, an ability to prioritise and share the company long term vision.

Client Details

A well respected industry client in Greenock.


  • Manage calendar and set up meetings
  • Manage information flow in a timely and accurate manner
  • Compilation of all materials and ensuring CEO has them in advance and available for every meeting
  • Produce reports, presentations and briefs to support CEO as necessary
  • Format information for internal and external communication - memos, emails, presentations, reports
  • Book and manage travel arrangements
  • Prepare agendas and act as minute taker, when appropriate
  • Assist in event planning and coordination (e.g., executive retreats, office get-togethers)
  • Discreetly handle queries, requests and appointments


  • Significant previous EA experience working for Senior executives preferably in similar environments
  • Able to demonstrate a track record of expert organisational, diary scheduling and time management skills
  • Able to demonstrate high levels of thoroughness and attention to detail
  • Able to demonstrate high integrity, good judgement, discretion and confidentiality
  • Creative and flexible mindset
  • Demonstrates high levels of emotional intelligence and gravitas when dealing with employees and clients at all levels
  • Expert knowledge of MS Office
  • Excellent communication skills both verbal and written
  • High proficiency of English language both written and spoken
  • Ability to multitask and prioritise daily workload under tight deadlines

Job Offer

  • Competitive salary
  • Office based with some future hybrid working when fully trained
  • Monday to Friday- 37.5 hours a week
