This includes working together in the office on Tuesdays, Wednesdays and Thursdays, and choosing to work where one works best on Mondays and Fridays. The opportunity

This position is jointly responsible for providing administrative support to the EMEA Co-CEO Executive Office and the EMEA HR Department, located in the firm's London office.

Operating in a highly regulated and fast-paced environment, this role holds responsibility for a diverse range of administrative tasks and provides the opportunity to interact with a variety of stakeholders across the organisation. For the Co-CEOs, the incumbent will primarily provide diary management and general administration support. For the HR department, the individual will work closely with the HR Analyst to provide administrative support on HR operational policies & procedures, and the Senior Recruiter in providing recruitment coordination support.



The Role

  • HR & Recruitment Support - provide general administrative support for theEMEA HR department including but not limited to:
    • Provide coordination and administration support for the Recruitment function in the form of interview scheduling and logistics, ensuring a positive candidate experience throughout the interview process.
    • In consultation with the HR Analyst, coordinate the signing and delivery of documents, including employment contracts and arrange the return of fully executed copies.
    • Support all new joiner onboarding processes both pre-hire and post-hire, including liaising with IT and Corporate Services to ensure that all preparations are made for the new joiner's first day.
    • Prepare HR induction slides and schedule all new joiner induction sessions.
    • Provide employee references when required, including the checking of previous employee agreements, and liaising with the HR Analyst in response to any regulated reference requests received.
    • File, copy, track, and upload documents into Workday and manage employee files (hard and soft copy).
    • In consultation with the HR Analyst, support data management processes for GDPR purposes according to existing document archiving and deletion processes.
    • Ad-hoc reporting on employee data where required.
    • Ad-hoc administrative support for the HR team on various tasks and projects throughout the year.
  • Executive Office Administration - perform a range of administrative tasks and projects in support of theEMEA Co-CEOs, including but not limited to:
    • Proactive calendar management (scheduling and managing conflicts) including working with Legal on Board and Committee meetings.
    • Prepare meeting materials using various tools including Excel, Word, and PowerPoint.
    • Attend various meetings, writing up minutes and following up on any action points.
    • First point of contact for Executives visiting from our Global offices and helping prepare itineraries.
    • Coordinate and manage global travel arrangements.
    • Prepare and submit travel and expense reports in a timely manner.
    • Special projects as assigned.


DESIRED SKILLS & EXPERIENCE

  • Previous administrative experience within a corporate/regulated environment, ideally supporting Executives, Departments Heads and/or whole departments.
  • Interview coordination and contract management experience desirable.
  • Strong working knowledge of MS Office including Outlook, Excel, PowerPoint, Word.
  • Highly organized, excellent attention to detail and the ability to adapt to changing priorities.
  • Highly developed written and verbal communication skills, and ability to communicate with stakeholders at all levels of the organisation.
  • Resourceful, adaptable, and meticulous.
  • Ability to exercise discretion and confidentiality.
  • Able to adapt to a fast-paced environment and manage competing priorities.
  • A strong work ethic and team mentality
