A global branded business recruiting for a HR Assistant to join the HR Team.

Your new role
Your new role will involve providing a HR administrative service for all weekly and salaried HR systems including the recruitment, induction, attendance, internal movement, and termination of staff. As well as providing standard and ad hoc HR management information and reports as required. Additionally, to deliver to managers and staff a first-class HR service and be proactive in bringing in their own ideas to help continuously improve our service.

Key Duties include:

  • On boarding new employees by creating offer letters, employment contracts and new starter packs.
  • Processing employee grade and job changes.
  • Handling the absence notification line and associated absence documentation.
  • Maintaining the Kronos and My People database, ensuring highest standards of completeness and accuracy.
  • Utilising the above systems and absence information to produce accurate payroll information on a weekly basis.
  • Supporting Recruitment by posting jobs and managing responses to candidates
  • Coordination of Long Service Awards
  • Creating and updating employee Personal Files in accordance with Data Privacy Regulations
  • Handling employee and HR Manager queries in a timely and effective manner
  • Providing day-to-day HR Support to Managers and employees.
  • Handling the HR telephone and post queries

Recruitment, Selection & Induction

  • Assist in the administration and co-ordination of the induction process.
  • New Starter process
  • Create personal electronic file on HR shared drive
  • Liaise with Manager to ensure all new starter needs are met
  • Create and send welcome letter
  • Obtain Proof of ID, RTW & P45
  • Deliver first day induction
  • Coordinate induction plan
  • Complete Leaver administration

  • Leavers

Absence Management

  • Support in all aspects of the administration of the absence monitoring and management process.
  • Cover the running of the absence reporting telephone line.
  • Calculation of absence figures daily, weekly and monthly.

Development

  • Coordinate the administration of probationary reviews and document all actions.
  • Liaise with Managers to ensure completion of probationary reviews.

Communications

  • Ensure Staffing Announcements are communicated to the relevant people.
  • Report absence & calculate overtime payments before sending to SSC.
  • Collate weekly payroll administration for onward transmission to Central payroll function.

People Changes

  • Support the administration of people changes e.g. job changes, name and salary changes.
  • Coordinate leaver process.
  • Accurate and timely provision of weekly payroll administration/calculations including collation of the above pay changes and absence etc to 2SFG Payroll Dept.
  • Update structure charts with starters, leavers and changes.
  • Instigate and coordinate Long service awards.
  • Develop and implement systems to ensure efficient and effective processing and management of information.
  • Complete daily, weekly and monthly HR reports as required by the business.
  • Ensure full manual personnel files are created for new starters and maintain existing files.
  • Ensure HR systems are up to date and maintained.
  • Raise purchase orders & goods receipt services as appropriate

Project Work

  • Ad hoc project work as required. Both self generated as well as delegated by HRM and HRA.

Systems

  • Develop and implement systems to ensure efficient and effective processing and management of information.
  • Complete daily, weekly and monthly HR reports as required by the business.
  • Ensure full manual personnel files are created for new starters and maintain existing files.
  • Ensure HR systems are up to date and maintained.
  • Raise purchase orders & goods receipt services as appropriate using the SAP system.
  • Use the Direct system to order equipment, SAP user requests and additional requests.

What you'll need to succeed

  • 1-2 years of HR Experience (Essential)
  • Strong IT Skills in excel, word and HR systems
  • Ability to prioritise multiple tasks and work to deadlines
  • Attention to detail essential
  • Demonstrate Team player
  • Relevant HR administration experience gained within a busy HR department ideally within a fast moving and challenging environment. Experience of HR in a manufacturing environment would be advantageous.
  • Resilient, self starter with excellent attention to detail.
  • Outstanding planning and organisational capabilities.
  • Enthusiastic, positive and effective communicator.
  • Dynamic approach to work with evidence of previous success in an environment that demands working at pace.
  • Excellent knowledge of Microsoft Office to an advanced level. Experience of SAP and SAP HR would be an advantage but not essential
