Onboarding Specialist

12 month FTC

I am partnering with a forward thinking investment management company to find an Onboarding Specialist to join their busy HR Operations team. This is an exciting opportunity to join a well known and respected company within the Financial Services industry.

As the appointed Onboarding Specialist, you will be responsible for the onboarding of all UK hires. To be successful in this role, you will be a great communicator and be able to quickly build strong relationships with key stakeholders and candidates. You will be pro-active and have a high attention to detail and will have an administrative background.

This role will suit someone who is passionate about the candidate experience, ideally a HR Administrator, looking to progress and take a more analytical root in their career. This is a great steppingstone to take on more responsibility and have better exposure to candidates and senior stakeholders. You would be more process driven and analytical in your approach as the role will require data entry and updates as well as taking full responsibility for the onboarding life-cycle.

Responsibilities

  • Take ownership of the full onboarding life-cycle
  • Managing the candidate experience, ensuring a smooth transition from recruitment to full onboarding
  • Contract and offer generation within agreed SLA's
  • Take responsibility for all immigration and visa hires ensuring timelines are adhered to to achieve start dates
  • Pre-employment checks ensuring checks meet compliance checklists
  • Stakeholder management, updating hiring managers regularly and building relationships with a variety of stakeholders and candidates
  • Ensuring HRIS is up to date and all data is uploaded and maintained regularly - including data for joiners, leavers, transfers and conversions
  • Ensure Right to work checks are compliant and recorded on the HRIS
  • Suggest improvements for onboarding
  • Absences and return from leave data entry
  • Liaising with HR Assistants, HRIS Systems and Reporting Analyst
  • Regular auditing and maintenance of the HRIS including weekly system checks
  • Data cleansing
  • UAT Testing
  • Support the HR Manager and wider Global HR team including ad-hoc projects
  • Escalating changes or enhancements to be made to system configuration & business processes
  • Provide user training when required for new members and other relevant key stakeholders

Requirements

  • Experience using HR Systems including training other team members
  • Data Entry and Data management experience
  • Experience managing the onboarding system in a similar HR team
  • Clear and confident communicator, verbally and written
  • confidence to challenge managers and other senior stakeholders when advising around due process
  • good understanding of HR confidentiality requirements
  • demonstrable ability of Microsoft Office, specifically Word, Excel, 365 and Outlook to including detailed spreadsheet work
  • Knowledge of GDPR - be able to maintain the strictest levels of confidentiality at all times
