Team Administrative Assistant

Global Telecommunications Contractor

Up to £220 a day

London

I am delighted to be partnering with a global telecommunications contractor with their search for a temporary administrative assistant. This role will be supporting the People Team, that are going through exciting changes.

Key Responsibilities:

* Diary Management - responsible for maintaining team meetings, including arranging other meetings as necessary.
* Travel Arrangements - all work-related travel arrangements including visas, flights, accommodation, and itineraries, ensuring adequacy and cost effectiveness of all arrangements for the team.
* Meeting / Event Support - organise meetings as required, including identifying and managing appropriate cost-effective venues / facilities, preparing documentation (such as presentations, agendas, minutes, packs, papers, and notes), and taking minutes when required.
* Act as first point of contact for telephone enquiries / fielding calls for the People team.
* People Team inbox management - fielding, answering and distributing enquiries for action where needed.
* Learning and Development - providing full administration support from beginning to end
* Project support - including co-ordination, administration, dealing with third parties, maintaining documentation / plans, etc.
* Supporting review of management accounts on a monthly basis following up with Finance as appropriate.
* Administration - assisting in general administration (including expense reports, dealing with post, stationery, room bookings), processing invoices and purchase orders, management and maintenance of team records (e.g. leave, absence), guest list
* Responsibility for ownership of key touch-points in employee life cycle to ensure on brand & living up to People promise
* Responsibility for facilitating free flight bookings and tracking.
* Responsibility for the use and reconciliation of the corporate card.

Skills Required:

* Able to handle sensitive and confidential employee information with confidence
* Highly organised and pro-active approach to work
* Excellent written and verbal communication skills, with good overall standard of English
* Great attention to detail
* Able to manage own workload confidently whilst working well as part of a team
* Good interpersonal and relationship building skills at all levels
* Good proficiency with Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
